Job Summary:
Responsible for the day-to-day operation of the maintenance and housekeeping department and the overall maintenance of the Maintenance Connection software. Included duties will focus on the reviewing and closing processing of Maintenance Connection work orders and guest requests. It will require the daily interaction with maintenance and housekeeping staff and a general review of their output to assist in planning of future work effort.
Essential Job Functions:
1. Relay follow-up concerns to the facilities and housekeeping crew from the previous day.
2. Copy and review security log and handicap parking log daily (there should be no Front Desk log as Front Desk can create their own work orders).
3. Review “problem code”, inventory items, labors hours and statement on completed work orders and guest requests and process closing daily.
4. Open work order requests only if requested by maintenance and housekeeping staff or Facilities and Housekeeping Managers.
5. Ensure that parts used in work orders and guest requests are properly recorded.
6. Prepare and request purchase orders for maintenance and housekeeping department as well as prepare, request and follow up on all purchase of appliances and electronics (including renovation appliances and electronics – These Purchase Orders (PO) should be approved by the Director of Finance).
7. Ensure that routine parts and housekeeping supply purchases are done in a well-planned, timely and efficient manner.
8. Code purchase orders for accounting purposes (if no PO code invoices, or receipts).
9. Upon receipt of TVs and appliances, sign off on receiving report (or invoice) and scan serial # for each item into the inventory system (the same procedure should be followed when PO is for renovation).
10. Create one work order per unit to deploy all reno appliances and electronics.
11. Perform daily review of unit “General Clean” activity, make sure to add the paint and housekeeping items then close all PM work orders completed.
12. Perform daily review of cleaning activities of common areas to include recreation room, barbeque areas, tennis courts and pool.
13. Review the status of all work orders and guest requests in the work queue daily to ensure that follow-up has been performed and that all work orders suspended for parts or labor availability are monitored.
14. Maintain inventory of all tools and process requests for additional equipment through the Facilities and Housekeeping Manager.
15. Maintain all back-up key inventories.
16. Ensure that shop area is clean and that hazardless conditions are maintained.
17. Coordinate with service technicians from vendors who are assisting with work on property.
18. Assist Quality Control with assignment and completion of work orders.
19. Assist Facilities and Housekeeping Manager with inventory control.
20. Perform other duties and assist with special projects as assigned.
Preferred Job Knowledge and Qualifications:
Prefer High school graduate or have GED. Must possess good customer service and communication skills. Must have a friendly, personable and professional appearance. Must have the ability to give and receive directions and information to guests and employees in English. Job requires reading, writing, walking, standing, sitting, climbing, balancing, reaching, stooping, kneeling, crouching, crawling, eye/hand/foot coordination, pushing or pulling up to 50 pounds and lifting or carrying up to 50 pounds, good (corrective) vision and hearing necessary to perform the essential functions.
